Entering time
- Open Timesheet (on a phone: open time.sselectric.com and choose Add to Home Screen).
- Click + Add time or + Add under a day. Pick the job, cost code, hours and pay type.
- Service call? Choose Service ticket. Type the Ref # (or pick from the open tickets) and the QuickBooks job fills in. Or pick the job first: the Ref # list then shows only that job's open tickets.
- Cost code: type the code (905 or 01-905) or part of the description (“hot check”), or pick it from the list.
- Same work several days? Tick the other days. Foremen can tick crew members to add the same line for each of them.
- When the week is done, click Submit week. After that only the office can change it.
Weekly payroll (office)
- Review: the grid shows each person's hours by day; red and amber marks show lines to fix. Click a line to edit it.
- Approve all lines with no errors, then fix and approve the rest. You can also approve one person's week from their Timesheet (Approve week), or one line with Save & approve.
- Payroll › Download .iif. A copy is kept in SharePoint (Payroll Exports). In QuickBooks: File › Utilities › Import › IIF Files.
- Service tickets update themselves. A Ref # line shows on its ticket's Labor tab in the Service Tracker as soon as it's saved, as Pending, and turns Approved when you approve it. Payroll › Service Tracker tickets shows the week's totals and catches up anything that couldn't be sent.
Where things come from
Tickets (Ref #, Q#, job #) are read live from the SSE Service Tracker. QuickBooks jobs, cost codes and employee names must match QuickBooks exactly; the office keeps them under Lists and can refresh jobs from a QuickBooks list export.
